Privacy policy

1. Who we are

VyForge Company Limited ("VyForge", "we", "us") operates the website vyforge.com and the VyForge promotions platform (the "Service"). For the purposes of applicable data protection law, including Vietnam's Decree 13/2023/ND-CP on personal data protection, VyForge is the data controller for data collected through this website, and acts as a data processor for customer data that our business customers load into the platform.

2. Data we collect

• Website visitors. Standard server logs (IP address, user agent, pages requested, timestamps) kept for security and capacity planning. We do not run third-party advertising trackers on vyforge.com.
• Prospects and contacts. When you email us or book a demo we keep your name, company, email address and the content of the correspondence.
• Platform users. Account details of the people who operate the platform for a customer (name, work email, role, authentication records, audit log of actions).
• Customer data. Orders, customers, voucher codes, loyalty balances and referral records that a business customer connects to the platform. This data belongs to the customer and is processed only on their instructions.

3. How we use data

• To provide, secure and support the Service, including validating vouchers, maintaining loyalty ledgers and reporting campaign results.
• To respond to enquiries and to arrange and follow up demos.
• To improve the Service through aggregated, de-identified usage statistics.
• To meet legal obligations, including accounting and tax record-keeping in Vietnam.

4. AI processing

Parts of the Service use large language models through the Anthropic Claude API to draft campaigns, rank offers, explain results and answer questions. Before any model call, direct personal identifiers (names, phone numbers, email addresses, addresses) are removed or replaced with pseudonymous tokens, and model context is isolated per customer tenant. Under our agreement with Anthropic, data sent through the API is not used to train Anthropic's models. The deterministic rule engine, not the model, decides whether a discount applies.

5. Sub-processors

We use a small number of service providers to run the Service: cloud hosting and infrastructure, email delivery, and the Anthropic Claude API. Each provider is bound by contractual confidentiality and data protection terms. A current list is available on request at [email protected].

6. International transfers

Data may be processed outside Vietnam, including by the AI provider in the United States. Where this happens we rely on contractual safeguards and comply with the cross-border transfer requirements of Decree 13/2023/ND-CP.

7. Retention

• Server logs: up to 90 days.
• Enquiry correspondence: up to 24 months after the last contact.
• Customer data: for the term of the customer agreement, then deleted or returned within 30 days of termination unless law requires longer retention.
• Accounting records: as required by Vietnamese law.

8. Your rights

Depending on where you live you may have the right to access, correct, delete, restrict or export your personal data, and to object to or withdraw consent for certain processing. Platform end-customers should direct requests to the business that collected their data; we will assist that business in responding. Any other request can be sent to [email protected]. We respond within the period required by applicable law, and in any case within 30 days.

9. Security

We use encryption in transit, access controls based on role, per-tenant isolation of data and keys, and an audit log of administrative actions. No system is perfectly secure; if we become aware of a breach affecting your data we will notify affected customers and authorities as required by law.

10. Cookies

vyforge.com stores a single preference (your language choice) in your browser's local storage. The platform uses strictly necessary session cookies for authentication. We do not use advertising or cross-site tracking cookies.

11. Children

The Service is for businesses and is not directed at children under 16. We do not knowingly collect their data.

12. Changes

We may update this policy. Material changes will be announced on this page with a new effective date, and platform customers will be notified by email.
